Terms of Service
Your Journey, Our Commitment — Clearly Defined.

1. Agreement to Terms
These Terms of Service ("Terms") constitute a legally binding agreement between Thea Mondial Travel ("Company", "we", "us") and any individual, travel agency, corporate entity, or organisation ("Client", "you") that engages our services or submits a booking request.
By confirming a booking, submitting a partner inquiry, or engaging our services in any capacity, you acknowledge that you have read, understood, and agree to be bound by these Terms, which shall be governed by the laws of the Republic of Uganda.
2. Services
Thea Mondial Travel provides inbound destination management services in Uganda and East Africa including, but not limited to:
- Bespoke itinerary planning and curation
- Ground transportation and airport transfers
- Accommodation booking and lodge coordination
- National park permits and wildlife trekking experiences
- MICE (Meetings, Incentives, Conferences and Events) logistics
- Community and impact travel programmes
- White-label ground handling for international travel agencies
All services are provided subject to availability and the terms of our third-party suppliers (lodges, airlines, Uganda Wildlife Authority, etc.).
3. Booking & Confirmation
3.1 Quotation
All itinerary quotations provided by Thea Mondial are valid for 15 days from the date of issue unless otherwise stated. Prices quoted are in US Dollars (USD) unless an alternative currency is expressly agreed in writing.
3.2 Confirmation
A booking is confirmed only upon receipt of the required deposit (see Section 4) and a written confirmation issued by Thea Mondial. Verbal agreements do not constitute a confirmed booking.
3.3 Accuracy of Information
Clients are responsible for providing accurate personal information (including passport details, health requirements, accessibility and dietary needs) necessary to fulfil the booking. Thea Mondial shall not be liable for any loss or additional costs arising from inaccurate information provided by the Client.
4. Payment Terms
4.1 Deposit
A non-refundable deposit of 30% of the total itinerary value is required to confirm a booking. Gorilla trekking permit fees and other non-refundable third-party costs must be paid in full at the time of booking, as these cannot be refunded once issued by the Uganda Wildlife Authority.
4.2 Balance Payment
The remaining balance is due no later than 60 days prior to the travel start date. For bookings made within 60 days of departure, full payment is required at the time of confirmation.
4.3 Payment Method
All payments are made by international bank transfer to Thea Mondial's designated bank account. Payment details will be provided on the invoice. Clients are responsible for all bank transfer charges and currency conversion fees. Payments are only considered received when funds are confirmed as cleared in our account.
4.4 Late Payments
Thea Mondial reserves the right to cancel a booking if payment is not received by the agreed due date. In such cases, the cancellation policy in Section 5 shall apply.
5. Cancellation & Refund Policy
5.1 Cancellation by the Client
All cancellations must be submitted in writing to theamondialtravel@gmail.com. The following cancellation fees apply, calculated as a percentage of the total booking value:
- More than 60 days before departure: Loss of deposit (30%)
- 30–59 days before departure: 50% of total booking value
- 15–29 days before departure: 75% of total booking value
- Less than 15 days before departure or no-show: 100% of total booking value
Note: Uganda Wildlife Authority gorilla and chimpanzee trekking permits are 100% non-refundable and non-transferable once issued, regardless of cancellation timing.
5.2 Cancellation by Thea Mondial
In the rare event that Thea Mondial must cancel a confirmed booking due to circumstances within our control, we will offer a full refund of amounts paid (excluding non-refundable third-party costs already disbursed) or an alternative itinerary of equivalent value.
5.3 Travel Insurance
We strongly recommend that all clients obtain comprehensive travel insurance, including coverage for trip cancellation, medical evacuation, personal liability, and loss of personal belongings. Thea Mondial does not provide travel insurance and cannot be held responsible for losses that could have been covered by insurance.
6. Force Majeure
Thea Mondial shall not be liable for any failure to perform its obligations where such failure results from circumstances beyond our reasonable control, including but not limited to:
- Natural disasters, pandemics, or acts of God
- Government travel restrictions, border closures, or visa refusals
- Civil unrest, war, or terrorism
- Strikes or industrial action by third-party suppliers
- Weather events affecting access to national parks or wildlife areas
- Decisions by the Uganda Wildlife Authority to restrict park access
In such cases, Thea Mondial will use reasonable endeavours to find suitable alternatives. Where this is not possible, refunds will be made net of any non-recoverable third-party costs already incurred.
7. Liability
7.1 Limitation of Liability
Thea Mondial Travel's total liability to any Client in connection with the provision of services shall not exceed the total value of the confirmed booking. We shall not be liable for indirect, consequential, or special losses.
7.2 Third-Party Suppliers
While we carefully select our partner lodges, guides, and service providers, Thea Mondial acts as an agent of those suppliers in respect of the relevant services. We are not liable for the acts, omissions, or negligence of third-party suppliers.
7.3 Health & Safety
Adventure activities such as gorilla trekking, white-water rafting, and primate tracking carry inherent risks. Clients participate in such activities at their own risk. Thea Mondial will provide pre-departure safety briefings and ensure all activities are conducted with qualified, licensed operators.
8. Client Obligations
By accepting these Terms, the Client agrees to:
- Follow the instructions of guides and park rangers at all times
- Comply with Uganda Wildlife Authority regulations during all park and wildlife activities
- Respect local customs, heritage, and cultural protocols during all community experiences
- Maintain appropriate travel and health insurance for the duration of the journey
- Notify Thea Mondial promptly of any changes in personal circumstances that may affect the booking
9. Itinerary Changes
While we strive to deliver every itinerary exactly as planned, certain elements (such as wildlife sightings, weather-dependent activities, and park access) are inherently variable. Thea Mondial reserves the right to modify itinerary elements where necessary for operational, safety, or force majeure reasons. Substitute arrangements of equivalent or greater value will be offered wherever possible. No refunds will be issued for itinerary modifications made necessary by circumstances beyond our control.
10. Passport, Visa & Health Requirements
Clients are solely responsible for ensuring they hold valid travel documents, visas, and any required vaccinations or health certifications (including Yellow Fever vaccination, which is mandatory for entry into Uganda). Thea Mondial may provide general guidance as a courtesy but accepts no liability for denied entry or travel complications arising from documentation issues.
11. Complaints
If any issue arises during your trip, please inform your guide or our 24/7 support contact immediately so we can resolve it on the ground. Written complaints should be submitted to theamondialtravel@gmail.com within 30 days of the end of your trip. We will acknowledge your complaint within 5 business days and aim to resolve it within 30 days.
12. Governing Law & Dispute Resolution
These Terms are governed by the laws of the Republic of Uganda. Any disputes arising from or in connection with these Terms shall be submitted first to good-faith mediation between the parties. If mediation fails, disputes shall be resolved through the courts of competent jurisdiction in Kampala, Uganda.
13. Amendments
Thea Mondial reserves the right to update these Terms at any time. The current version will always be available on our website. Continued engagement with our services after any update constitutes acceptance of the revised Terms.
